1. Log in
Go to www.icastpro.ca/manager and enter your email, then your password or get a magic link sent directly to your email to access the platform.
| To order your webcast, click on Add an order, on the top right of the screen: |
Fill out all the information about the event in the form: date, time and time zone, duration, format. Then, click Next at the bottom of the page. Fill all languages, content, technical and audience pages.
*For additional information, click on the (i) logo on the right and a small window will appear.
Your webcast can be archived on icastPro for up to 12 months after the event, depending on your needs. The archive will be available within 24 hours of the end time:
Note that if you don’t have all the information at hand, you can save your booking at any time and complete it later. This will be saved as a draft.
PROJECT MANAGEMENT OPTION:
Choose this add-on option to have a dedicated PM to answer questions related to your webcast, including additional training prior to the event. The PM assigned will be available and standby up to 2 hours before the start of your event, to answer any questions or concerns and will connect to your pre-conference webcast call 30 minutes before the event start time.

2. Technical Setup
Please provide as much information as you can about how your speakers will connect: will they be together in a conference room or will some or all connect via an audio phone bridge from different locations?

If you are planning a video webcast, we will be in contact with you to go over all the details of the setup and type of equipment used.
3. Submit your Order
To reserve a webcast, a minimal period of 72 hours is required prior to the scheduled start time of the webcast. If a webcast is cancelled or postponed within 48 hours of its scheduled start time, it will be considered due and will incur a full charge.
The Digicast team will review the order within a 12h window. Keep in mind that, once submitted, the order is pending approval. Once approved, you will receive an email informing you that your order has been approved.

4. Manage your Webcast

Once an order has been approved, you can manage your orders and find a summary of your webcast information by clicking on Manage: |

5. Important Information Provided by Digicast
The information to share with your speakers and members are found in the Order form, under “Access”:
The Viewer access box will contain the webcast link to share with the participants. They simply need this link to follow the webcast online.
The Speaker access will contain the Director link used to view and push the slides, chat with our team and manage questions. Speakers and collaborators should never follow the webcast via the Viewer access.
6. Key Points
You are responsible to provide all required information pertaining to your webcast. A notification will be sent to Digicast advising them on new or modified information.

If you are planning a sequence of events with the same parameters, you can save one as a draft. This will allow you to clone the order to submit the official dates throughout the year. Keep in mind that you cannot clone an event once it’s been submitted. Subscribers can be added to your event. This grants them access to edit the Order Form and add the presentation, speaker names, etc. The subscribers will also receive notifications. |

7. Notifications
| As the webcast approaches, you will receive notifications by email for items to submit: slides, speakers names and titles, etc. If you have selected other content to be played during the webcast (audio or video), you will also need to submit it here. You can find all your notifications at the top right of the screen. | ![]() |
8. Billing
The Digicast Project Management team will send you a quote. Please enter the PO# in the Order Form when confirmed. Enter the entity and address for billing purposes.
